Objective
Carrington Care has delivered high quality aged care services for over 130 years to the Camden NSW region. Their strategic focus is to use technology to improve business efficiencies and support staff in the delivery of the highest standard of resident care.
Employee timesheet clocking and processing for payroll was identified by Carrington as a key improvement area. Legacy fingerprint scanners were “clunky and frustrating” for staff and management had no oversight of timesheet submissions or approvals.
Carrington needed a system that was fast and easy system for staff; efficient and effective for managers to administer; and delivered confidence that all compliance requirements were being met.
Solution
Carrington selected UKG Ready (formerly known as Kronos) as their enhanced HR management system, including rostering and payroll. LoopSafe had been operating smoothly as their entry compliance system for staff, contractors and visitors for a year. It was therefore “logical to look at how LoopSafe could be used to simplify the staff sign in process.” LoopSafe developed an integration to the UKG API to enable employee sign-in via a LoopKiosk and function as the shift time clock synced to UKG.
Results and Benefits
The LoopSafe /UKG integration launched simultaneously with Carrington go live of the UKG roster and payroll module. Staff were already familiar with LoopSafe, so it was a “seamless changeover”. “The project has gone amazingly well with no need to train new staff on how to use LoopSafe.” Consolidation of both entry and clocking systems into a single step process improved staff experience and compliance. Entry safety screening is now completed by 100% of employees. Managers can review and action timesheet exceptions in minimal time, and the live data sync from LoopSafe to UKG ensures payroll accuracy which “has instilled confidence in our board and executive team.”
